CAWS Board Member Job Descriptions
Responsibilities of All Board Members
All Board Members should:
- Be experienced in the understanding of IB Program Standards and Practices
- Attend at least 2 of 3 annual board meetings
- Contact local schools to promote CAWS events and build relationships with CAWS
- Assist at CAWS events
- Serve on ad hoc committees and complete action plan items as needed outside of
scheduled board meetings - Each member of the Board is expected to dedicate a minimum of 8-10 hours per quarter
to board-related duties and CAWS responsibilities outside of scheduled board meetings - Vote on board motions
- Engage in timely communication with all board members
- Communicate information to member schools within your region:
○ Events
○ Legislative action
○ CAWS’ mission, vision, and goals
○ CAWS’ services - When a board member’s term expires or they resign, commit to helping onboard the
replacing board member.

Board Member Descriptions
President:
- Represents CAWS to IBO and other groups
- Attends the IB Global Conference and the Association’s meeting
- Plans and organizes board meeting agendas in collaboration with board members and the
executive director - Takes a leadership role for CAWS board goals and initiatives
- Leads closed session meetings, including contractor reviews
- Respects all board decisions with members and contractors
- Runs business meetings at CAWS seminars and events
- Implements policies and procedures
- Ensure alignment with the organization’s mission, vision, and strategic goals.
Vice President:
- Fulfills responsibilities for President when in abstention
- Assists President in developing goals, objectives, priorities, and board agendas
- Parliamentarian role during meetings
- Monitors progress, compliance, and parliamentary procedure of ad hoc committees
- Tracks information on Board Member terms (start, end, expiration) and updates the board
regularly at board meetings
- Supports the secretary in the annual Document Review
- Fulfill all responsibilities outlined in the general board member description, including
supporting the organization's mission and actively participating in board activities
Past President:
Assists in the Presidential transition
- Participates in recruitment of new board members
- Works with Executive Director to conduct onboarding of new members
- Advises executive board members and other board members, offering historical context
and institutional knowledge
Secretary:
- Takes accurate notes and minutes at Board meetings and closed session meetings
- Archives minutes and CAWS documents on the website
- Distributes minutes for approval in a timely fashion
- Manages and updates the CAWS Data File, sharing changes with the board
- Oversees annual Document Review (Constitution, by-laws, job descriptions) with support
from the Vice President
Treasurer:
Conducts monthly oversight of online banking system
- Delivers annual Treasurer’s report and budget at business meeting
- Oversees Financial Director, investments, audits, and tax documentation
- Works with the FD to update the board on the tax status of the association
- Meets quarterly with Executive Director and Financial Director to review health of all
CAWS accounts, financial status, and legal documentation
PYP, MYP, and DP Reps:
- Advises Board on PYP, MYP, and DP advocacy
- Serve as resource for PYP/MYP/DP programmes throughout the state
- Fulfill all responsibilities outlined in the general board member description, including
supporting the organization’s mission and actively participating in board activities.
Administrative Rep:
- Advises Board on the role of administration in supporting IB programmes and the
association - Serve as resource for IB administrators throughout the state
- Fulfill all responsibilities outlined in the general board member description, including
supporting the organization’s mission and actively participating in board activities.
